Working with Check In Styles

Creating a New Check In Style

  1. On the Check In Style panel, click New Check In Style .
  2. Complete the displayed New Check In Style form:
  3. Name - mandatory field - type the name of the Check In Style.

    Record Type - mandatory field - click the KwikSelect to display a list of available Record Types. Select the required Record Type and then click OK. The name of the selected Record Type will be added to the Record Type field.

    Container - click the KwikSelect to display a list of record Containers. Search for and select the required Container, then click OK. The selected Container's title will be displayed in the Container field.

    Alternative Container - select the container that the document will be alternatively contained within on check in.

    Classification - click the KwikSelect button to display a list of Classifications. Search for and select the required Classification, then click OK.

    Addressee - select the location that will be set as the document's Addressee.

    Owner - select the location that will be the owner of this Check In Style. With this option, you can create new Check In Style on behalf of other user(s) and set that user as Owner only if you have Delegate Of association with the user. You can then link Outlook folder(s) (see Link Outlook Folder(s) to Check In Style) and the mails coming into the linked folder will be automatically Checked In to Content Manager using the Check In Style.

    Set Default Author Option - set the option to define what location will be assigned as the Author. From the drop-down list, select from:

    • No Default - the Author field will be left blank.
    • Current User - sets the Author based on the current user.
    • Current User Unit - sets the Author based on the current user's default organization.
    • Specified User - sets the Author to the specified location. If this option is selected, then a location must be selected for the Specific Author field. Either select the Author from the drop-down list, or use the KwikSelect to search for the required location.

    Alternative Container - select the container that the document will be alternatively contained within on check in.

    Show check in dialog - select this option to display the Record Entry form each time an Outlook item being checked into Content Manager using this style. Clear this option not to display the Record Entry form when checking in an Outlook item.

    Delete after check in - select this option to send Outlook item to the Deleted Items folder once it's been checked into Content Manager.

    Only catalog the attachments of email messages - select this option to check in the email attachments only.

    To link Outlook Folder(s) to the Check In Style:

    1. From the Link Outlook Folder(s) to Check In Style section, click Add. The Select Folder dialog appears.
    2. Select the required Outlook Folder and click OK.
    3. Repeat for each Outlook Folder that will use the Check In Style.

    NOTE: A Linked Folder cannot be created using any of the following Outlook folders: Sent Items, Content Manager, Transition, Drafts, or on folders that are already linked.

  4. Click OK to save the new Check In Style; click Cancel to discard the changes.

Editing a Check In Style

  1. On the Check In Style panel, select the Check In Style to be modified, click Edit Check In Style .
  2. On the displayed Edit Style form, make the required changes to the style.

NOTE: If a new Outlook folder is to be added to the Check In Style, click Add and follow the steps described in To link Outlook Folder(s) to the Check In Style: If an Outlook folder is to be removed from the Check In Style, click Remove. The selected Outlook folder will be removed from the Check In Style.

  1. Click OK to save the modifications; click Cancel to discard the changes.

Deleting a Check In Style

  1. On the Check In Style panel, select the Check In Style to be deleted, click Delete Check In Style .

    NOTE: This will also remove the link from any associated Outlook folders.

The selected Check In Style is deleted.
